Officer Reports:

The President reported that 1 DCP goal had been achieved.

The President reported that the Blog was currently up to date and that guests at our club meetings had told him that the fact that the Blog was being updated and that the website was current was a sign to them that the club was functioning. In an unintended way keeping the meeting minutes on the Blog was functioning as a marketing tool!

The Treasurer indicated that no bank statements had been received for November or December of 2011. The President agreed to contact the San Mateo Area Chamber of Commerce and request that the statements be sent directly to the Treasurer.

The current Sgt. at Arms will contact the former Sgt. at Arms requesting that the new club banner be delivered to her as soon as it arrives.

Agenda Items:

Officer training was discussed. All the officers present agreed to try to make it to training on January 18th.

The status of our current VPE was discussed.

All officers agreed that they would help out if another officer became overloaded with work and that they would ask for help if they became overloaded with work.

November 14, 2011 Executive Committee Meeting

Officer Reports:

The VPE reported that he was still pursuing his awareness campaign to have members document their speeches in the backs of their manuals and then have the VPE provide his initials validating completion of the speech.

The VPE also reported that the Blog was currently up to date.

The Treasurer reported that we have $2,051.93 in cash in the bank.

The Treasurer also reported that only 3 members did not renew their 6 month memberships.

The Sgt. at Arms indicated that she had ordered a new banner with the new branding on it.

The Sgt. at Arms also indicated that she had received some free collateral from Toastmasters International (TI).

Agenda Items:

The slate of candidates for the Executive Committee was discussed. The VPE said he would send out an e-mail to the club requesting that anyone interested in being a member of the Executive Committee indicate their interest prior to the November 28th club meeting.

The Calendar of meetings for 2012 was discussed.

The budget for 2012 was discussed. In developing the budget we considered the projected cost of supplies for 2012, reimbursements to Wing for money she had spent in 2011 on the banner, reimbursements to the chamber for the cost of internet hosting, the cost of the 2011 party and the cost of bring our website and other documents into compliance with the new TI branding.

The Treasurer agreed to lead the effort for the upcoming party in December. She will contact the proposed restaurant and begin the process of making reservations immediately. It was ageed that the party would be held on Monday, December 5th, 2011 at 6:30 P. M. at the Macaroni Grill. It was also agreed that due to the budgeted costs for 2012, the club would only contribute $100.00 to the cost of the party.

Officer Reports:

The VPE reported on his ongoing campaign to raise awareness of the projects in the Competent Leader manual and the need to have the initials of the VPE recorded with each completed speech in the back of the speech manuals.

Agenda Items:

The 'rebranding' initiative and the Effective Listening Project are suspended as of this date due to the protracted absence of the VPPR. Once the VPPR returns, these initiatives will be restarted.

The preparations for the San Mateo County Expo were reviewed. It was agreed that the candy budget would be reduced to $15-$20. The Sgt. at Arms reported that the fliers that she ordered from TI had arrived. She gave them to the VPE. The VPE agreed to send out an e-mail to the officers detailing their deliverables for the Expo and an e-mail to the club documenting who is in scheduled for 'booth duty' at the Expo.

It was agreed that the club would provide the venue for the Area Contest on October 3, 2011. The VPM and Sgt. at Arms agreed to serve as the Sgt. at Arms for the contest. The VPE got authorization from Dora Hernandez for the use of the room until 9:00 P. M. on October 3rd. The VPE will send out an e-mail to the club letting them know that our October 3rd meeting will be preempted by the Area Contest.

It was decided that we would not make a financial contribution to the Area Contest.

It was decided that the Treasurer would be requested to send out an e-mail with all the details for paying the upcoming club dues.

The VPE distributed the new officer manuals from Toastmasters International (TI) to the Sgt. at Arms and the VPM.

Officer Reports:

The VPE reported that he was going to raise awareness among the club members regarding the Competent Leader manual. Additionally, the VPE said that he would also raise awareness among the club members regarding the fact that each speech needs to be recorded in the back of their speech manuals and initiatled by the VPE.

The Treasurer reported that we were missing bank statements for the last 2 months. The VPE agreed to contact Linda Asbury to request that the statements be sent. The Treasurer also reported that the VPPR had been reimbursed for her expenses and that the reimbursement for the Secretary was in process.

The Sgt. at Arms will order some free marketing collateral from Toastmasters International (TI) after the 'rebranding' initiative has completed so as to get the new branding on the marketing collateral.

Agenda Items:

It was decided that we will not concern ourselves with the TI 'rebranding' initiative regarding marketing collateral to be handed out at the San Mateo County Expo. There isn't enough time to change the branding on our clubs marketing collateral. The Secretary will provide $25 - $30 of candy for the Expo. The VPPR will review the club specific marketing collateral and contact the Treasure to print 50 copies of that document. The Sgt. at Arms will purchase 100 pieces of marketing collateral from TI. The Treasurer will print 50 applications. All of that will be complete by September 19, 2011.

The VPPR will continue to evaluate the effects on our club due to the 'rebranding' initiative undertaken by TI.

The VPPR lead a discussion about the project materials that she recently received regarding the 'Group Project'. The Sgt. at Arms agreed to scan the Instructor Manual and send a copy to the VPPR for distribution to the other officers after making some small editions to the manual. Each officer was tasked with reading the manual and deciding what module they would like to present.

The Treasurer lead a discussion about the TI dues increase. It was decided that the club dues would not be increased or decreased in response to the TI dues increase.

The withholding requirements for the State of California were discussed. It was determined that these requirements will have no effect on us.

The recent officer training was reviewed and was well received by all who attended.

The Secretary is in the process of creating new name cards for all the club members.

Officer Reports:

The Treasurer reported that deposit reciepts were temporarily being sent to Linda Asbury at the chamber. She contacted Borel Bank and seems to have corrected the problem.

Agenda Items:

The VPPR reported that the scope of the Toastmasters International (TI) rebranding initative has not yet been fully described to the club. A 'rebranding webinar' will soon be presented that may give us further information on the implications of the rebranding for our club. The VPPR will contact the President (Linda Asbury) and request the information to access the 'rebranding webinar'. The VPPR will then distribute the access information to the rest of the officers so they can participate in the webinar.

The VPPR reported that we have booth #183 reserved for the San Mateo Business Expo. The VPPR will send out an e-mail to the club looking for volunteers to staff the booth. While the exact nature of the marketing collateral that we will use is in doubt because of the TI rebranding initiative, at this time we plan on providing three documents to attendees of the Expo that are interested in our club. The three documents are: A generic Toastmasters brochure from TI, the club specific brochure that we handed out last year and a Toastmasters application form. Like last year we plan to collect cards from interested parties, but unlike last year we will not hold a drawing for a free memebership, instead, we will award the free memebership to someone who learned about our club from the Expo, attended our meetings as a guest and then indicated interest in joining the club. It was agreed that the budget for candy to give away at the Expo would be $20 - $30.

Attending officer training as a group was discussed. Spencer Hatfield had attended a prior training session, but would be willing to attend training again. Unfortunately, there are currently no officer training sessions that are convenient for those on the mid-peninsula. We will wait and see if any more convenient training sessions are offered in August.

The VPPR presented information about several potential 'Group Projects' from TI. It was agreed that she would do further research on this topic and then we would bring it up to the club for discussion.

The VPE reminded all officers to not 'become EC victims' due to overwork. He strongly suggested that anyone feeling overloaded with work should ask for help. Following that advice himself he requested that someone else deal with the logistics for the Area Contest this Fall. The VPM agreed to take on this task.

The President reported that we have achieved 5 DCP goals and have 19 members with two membership applications accepted this evening. So we have become a Distinguished Club.

The Treasurer reported that she had not received the bank statements or check that we thought had been sent to her by Linda Asbury back in May. The President took it as an action item to contact Linda Asbury to see when the statements and check would be mailed.

The Sgt. at Arms requested that the members give him feedback on the short speech he is giving in order to call our meetings to order.

The Treasurer reported that Toastmasters International (TI) now has acknowledged that Randy Lee and George Lee are current with their dues.

The President reported that he filed form 199-N with the State of California.

The VPPR agreed to contact Linda Asbury regarding the club's participation at the San Mateo County Business Expo on September 28th.

The VPPR agreed to monitor the changes that TI is making with their 'rebranding' initiative and inform us of any action the club needs to take in response to that initiative.

It was decided that the officers should attend Officer Training together (the Treasurer was exempted due to the fact that she would have to travel a long distance to attend the training). The club will provide compensation for the officers who attend training together if they decide to dine out after the training.

The President reported that according to Toastmasters International (TI) we have obtained 4 DCP goals and have 17 members.

The Treasurer reported that we have not received the bank statements for February, March or April. The Treasurer also reported that we are still awaiting $42.00 from the chamber in reimbursements for the club dues for members who also belong to the chamber. The President took an action item to contact the chamber in an effort to resolve these two issues.

It was reported that we did no have enough Evaluator's Cheat Sheets. The Sgt. at Arms took an action item to print out about 25 Evaluator's Cheat Sheets.

Agenda Items:

The Treasurer reported that TI had Randy Lee & George Lee in 'Graced In' status indicating that they did not pay their dues. However, she knows that both Randy & George are current with their dues. The Treasurer took an action item to resolve this problem.

The Treasurer reported that the 990-N tax form had been successfully filed with the federal government.

The President reported that he talked with TI and was told that in order to file the 199-N with the State of California that a 'tax id number' would have to be issued by the state to TI. That hasn't happened yet. When TI gets the 'tax id number' from the state then TI will e-mail the 'tax id number' to the Treasurer and the President. Only at that point can the club attempt to file the 199-N for California.

The Sgt. at Arms explained an innovative idea for having everyone provide a written evaluation to featured speakers who would like more feedback than the feedback from just one evaluator. This method relies on the speaker printing several of the evaluation forms provided in their speech manual for the speech project they are working on and having the audience fill in the evaluation form and return it to the speaker. This extended form of evaluation is engaged in at the discretion of each speaker and aguments, but does not replace, the current evaluation method where a designated evaluator provides an oral and written evaluation of the speech.

The President reported that we are 1 DCP goal and 3 members short of achiving Distinguished Club status. The Treasurer committed to e-mail the 2 members who haven't renewed to inquire if they will be renewing. If those members renew we will be 1 member short of the membership requirement for the Distinguished Club status. The Treasurer will e-mail the VPPR a list of former members. The VPPR will, at her discretion, contact former members to see if they want to rejoin the club. A long discussion took place on how to achieve the final DCP goal. The VPPR agreed to see how far away she was from the CL award. The President announced he was one speech away from receiving his AC.

The VPPR indicated that she would look into attending some of the San Mateo Area Chamber of Commerce mixers.

The Treasurer indicated that some of the statements for prior months had not arrived, but given time, they probably would arrive.

The Secretary reported that the Blog was current with all past meeting minutes.

The President reported that he had begun working on the New Membership Application functionality for the website.

The Treasurer reported that all but 2 of the current members renewed their memberships in April. The Treasurer also reported that a new member joined this evening. The VPPR said she would send an e-mail to the 2 current members who haven't renewed (in addition to the e-mail the Treasurer said she would send).

The Treasurer reported that form 990-N for the federal government had been submitted. Form 199-N could not be submitted to the State of California because Toastmasters International has not yet provided us with the 'Entity ID Number' for our club. The President inquired of the Area Governor regarding how, when and who would receive the 'Entity ID Number'. The Area Governor was unable to supply any of that information.

It was agreed that greater oversight would be put on requests made by non-members for the time and resources of the club.

It was agreed that the website should be modified to post our 2011 schedule.

The Treasurer agreed to write an explaination of how dues were calculated for posting on the website.

The President agreed to send the URL for the new calendar page of the website to the Vice President of Public Relations so she could put it on the flier that was developed for the last San Mateo County Expo. Once the update is made to the flier, the flier will be posted to the website.

The Vice President of Public Relations said that she will contact 'Ed' at the chamber to make the new flier available to him.

It was decided that the club would have a party on January 31st at 6:30 P. M. at the Macaroni Grill. The club would contribute $15.00 toward the cost of the party for each club member attending the party. Since Crystal Lee and Orla Lynagh are such integral parts of the club despite the fact that they are too young to be official members, the Executive Committee decided to contribute $15.00 for each of their expenses if they attended the party. The Treasurer agreed to coordinate the party logistics and the Vice President of Public Relations agreed to send out the invitations for the party.

The President reported that 1 DCP goal was formally acknowledged by Toastmasters International, but that Ruth Wadsworth had attained her ACB, but probably had not submitted it to Toastmasters International by the time the DCP report was run for this meeting.

The VPPR suggested that the flyer that was in development for the San Mateo County Business Expo could be saved as a marketing document on our website and would be especially helpful for responding to contacts by e-mail. There was general agreement that this was a good idea.

The Secretary reported that he had caught up on all the Blogging necessary to record the minutes of the various meetings.

Agenda Items:

It was agreed that 100 fliers would be produced at a maximum for the San Mateo County Business Expo. In any case a budget of $100.00 for fliers would not be exceeded. The VPPR stated that all the details were on schedule for the club's participation at the Expo on September 22, 2010.

The President said that everything was in order for our club's participation at the Area Contest on September 27, 2010.

The concept of adding an application page for new members was initially discussed. It was agreed that this conversation should continue when the Treasurer was present since the Treasurer will have the most interaction with proposed new functionality.

M. at the Hillsdale Mall Conference Room in leiu of our regular meeting.

The VPPR agreed to Contact Linda Asbury to begin the process of securing a booth for the club at the San Mateo County Expo. The VPPR also agreed to complete a first draft of the flier that we plan to give away and present it for comment to the club as soon as practical. The Executive Committee was united in agreeing to give away a free membership as a 'door prize' at the Expo. The VPE/VPM committed to making a sign for our booth at the Expo announcing that a free membership will be given away.

The Vice President of Public Relations displayed the laminated signs she had made to publicize the club's meetings.

The Vice President of Education outlined the problems with the website and that he was meeting with Carmel Weiler to begin to resolve those problems.

The Vice President of Public Relations committed to call the San Mateo Times in order to correct the advertisement for the club that still has Stephanie Krebel's contact information on it.

Yenny and Nancy were inducted into the club at this meeting.

The Vice President of Public Relations reported that she was no longer advertising on websites like Craig's list.

It was agreed that the Vice President of Membership should begin formally inducting members.

The Webmaster gave a report on the e-mail forwarding list outage.

The Area Governor requested $50.00 for our share in supporting the Area Contest. Since nobody from our club was participating and only two people were considering attending, we decided to give $20.00 to support the Area Contest.

The new club dues were once again discussed. They will be in effect for the April renewal period.

The next Executive Committee meeting will be held on April 12, 2010.
