May 9, 2011 Executive Committee Meeting

Present at the meeting were: Nancy Johnson (Treasurer), Samya Boxberger-Oberoi (VPPR), Spencer Hatfield (Sgt. at Arms) and Randy Groover (President & Secretary).

Officer Reports:

The President reported that according to Toastmasters International (TI) we have obtained 4 DCP goals and have 17 members.

The Treasurer reported that we have not received the bank statements for February, March or April. The Treasurer also reported that we are still awaiting $42.00 from the chamber in reimbursements for the club dues for members who also belong to the chamber. The President took an action item to contact the chamber in an effort to resolve these two issues.

It was reported that we did no have enough Evaluator's Cheat Sheets. The Sgt. at Arms took an action item to print out about 25 Evaluator's Cheat Sheets.

Agenda Items:

The Treasurer reported that TI had Randy Lee & George Lee in 'Graced In' status indicating that they did not pay their dues. However, she knows that both Randy & George are current with their dues. The Treasurer took an action item to resolve this problem.

The Treasurer reported that the 990-N tax form had been successfully filed with the federal government.

The President reported that he talked with TI and was told that in order to file the 199-N with the State of California that a 'tax id number' would have to be issued by the state to TI. That hasn't happened yet. When TI gets the 'tax id number' from the state then TI will e-mail the 'tax id number' to the Treasurer and the President. Only at that point can the club attempt to file the 199-N for California.

The Sgt. at Arms explained an innovative idea for having everyone provide a written evaluation to featured speakers who would like more feedback than the feedback from just one evaluator. This method relies on the speaker printing several of the evaluation forms provided in their speech manual for the speech project they are working on and having the audience fill in the evaluation form and return it to the speaker. This extended form of evaluation is engaged in at the discretion of each speaker and aguments, but does not replace, the current evaluation method where a designated evaluator provides an oral and written evaluation of the speech.
