The current Treasurer Nancy Johnson has stepped down form that role. The role of the Treasurer will be filled by the President until another Treasurer can be found.

The VPPR will write an e-mail to Kaiser to confirm our relationship with them regarding their summer youth program.

The status of the Treasurer & VPM were discussed.
The VPPR will send out an e-mail to allow members to sign up for 'booth duty' at the San Mateo County Expo. We will use our existing collateral as hand-outs at the Expo. It was decided that we will award a membership as a 'prize' to the guest at our booth who shows the most interest in the club.
It was decided that we would use Windows Live for the repository functionality instead of building it into our website. The President will set up the Windows Live account to be used as the repository. The New Member Application functionality will be developed by our webmaster. The President has sent the functional specifications for the New Member Application function to the webmaster.
The VPPR will modify the e-mail that she uses as a reply to e-mail inquiries and send it to the President. The President will see that it gets uploaded to the website. The VPPR will summarize her plans for the changes to the website in order to bring it into conformance with the new Toastmasters International branding standards and present that summary to the President. The President will then use the directions provided by the summary to facilitate the rebranding of the website.
The date for the presentation of the educational module has been changed to November 5th.

June 11, 2012 Executive Committee Meeting

Officer Reports:
The President reported that we had obtained 3 DCP goals to date.
The VPE was contacted by Kaiser Health Care with a request for presenters to present a youth public speaking course. The VPE will determine if there is any interest on the part of our members in presenting the course. The VPE will then contact Kaiser to finalize the arrangements for presenting the course.
The VPM mentioned that we need to formally induct Julio Alvarado.
The VPPR has confirmed our booth at the San Mateo County Business Expo on September 26th. She will talk with Bill Craumer and Tiffany Fung to see if there is any interest in holding a social event after the Expo.
Agenda Items:
The Treasurer reported that the 990N filing has not taken place. She will call Toastmasters International (TI) and get support from them on how to perform the 990N filing.
The VPM said that she will send another e-mail to Monique Oliveira to determine her interest in continuing her membership for the next 6 months.
The President thought that the ACBs for himself and Ruth Wadsworth should count in the current DCP report, but were not showing up. The VPE agreed to contact TI and determine if that is true.
In order to allow new members an opportunity to join the Executive Committee, the President will send an e-mail mentioning that the opportunity is open to all who are interested.
The President presented his slate of candidates for the Executive Committee.
The Rebranding work continues. The President and the VPPR will review the documents on the website and determine if they need to be updated, deleted or left unchanged. The work on the documents should be done in July. The President will present a Functional Specification to the Executive Committee at the August 13th meeting. The date for the next education module will be November 5, 2012. Rehearsals will be in October. The specific education module to be presented will be selected in September. The Executive Committee was given an overview of the various education module topics by the VPPR. The President reported that we had obtained 3 DCP goals to date.
The VPE was contacted by Kaiser Health Care with a request for presenters to present a youth public speaking course. The VPE will determine if there is any interest on the part of our members in presenting the course. The VPE will then contact Kaiser to finalize the arrangements for presenting the course.
The VPM mentioned that we need to formally induct Julio Alvarado.
The VPPR has confirmed our booth at the San Mateo County Business Expo on September 26th. She will talk with Bill Craumer and Tiffany Fung to see if there is any interest in holding a social event after the Expo.

The Treasurer reported that the 990N filing has not taken place. She will call Toastmasters International (TI) and get support from them on how to perform the 990N filing.
The VPM said that she will send another e-mail to Monique Oliveira to determine her interest in continuing her membership for the next 6 months.
The President thought that the ACBs for himself and Ruth Wadsworth should count in the current DCP report, but were not showing up. The VPE agreed to contact TI and determine if that is true.
In order to allow new members an opportunity to join the Executive Committee, the President will send an e-mail mentioning that the opportunity is open to all who are interested.

April 9, 2012 Executive Committee Meeting

Officer Reports:
The President reported that the Toastmasters Internation website is still reporting that 2 DCP goals have been obtained, but he throught we have actually attained 4 DCP goals. The third DCP goal will probably be awarded in the near future for the dues being submitted on time. We need to report the CC award for Ron Kasper to obtain the fourth DCP goal.
The Treasurer reported that the $25.00 donation to The Hunger Project was in progress.
Agenda Items:
The Treasurer reported on the dues renewal process. There is one member who we expect to renew who has not renewed at this point. The Treasurer will attempt to contact that member in order to determine if they are going to renew or not.
The VPE gave a detailed report on the progress of the Effective Listening presentation. To date, this is what has been decided:
The presentation will be given on May 7, 2012.
Presenters should have their questions in to the VPE by April 23rd.
Presenters must coordinate their presentations to the handbook provided to the participants so the participants can fill in the handbook properly.
The Presenters and Exercise Leader will have a rehearsal at the end of April.
Nancy Johnson has asked to be replaced as a Presenter. The VPE will find her replacement.
The VPE and the President will meet to decide which parts of the Effective Listening presentation will be presented by the President.
The VPE will order another set of Effective Listening manuals.
The VPPR gave a detailed report on the progress of the re-branding effort. To date, this is what has been decided:
The Toastmasters International agendas will not be used 'as is'. They will be modified by the President to incorporate the body of our current agenda and then uploaded to the club's website.
The club banner now conforms to the new branding.
We will not buy a lecturn.
The VPPR elaborated on the new e-mail standards.
All manuals, pins, ribbons, etc. currently in our inventory will be used regardless of their branding until they are gone and replaced by materials with the current branding.
The President will upload the branded PowerPoint templates to the club's website.
The VPPR will let the club know of the branded stationary, business cards, etc. that are available at the Toastmasters International website.
The VPPR will revise the club's brochure in conformance with the new branding standards.
The website will be revised at a later date to conform to the new branding standards. The reason for this delay is to try to do the re-branding of the website at the same time other functions are added to the website and to take more time to integrate the Toastmasters International brand with the San Mateo Area Chamber of Commerce's brand on the club's website and the club's webpage on the chamber's website. The President will send an e-mail to the Area Governor advising him of our intention to merge the Toastmasters International branding with the San Mateo Area Chamber of Commerce's branding on both websites.
The Treasurer agreed that she would do both the federal and state tax filing before May 15, 2012. We agreed that the revenue figure we would report would be $450.
The subject of having more social events was discussed briefly and it was agreed that this subject would be an agenda item for the next meeting.

The VPM said she would issue an e-mail requesting that dues be paid.
The Treasurer reported that all the bills had been paid.
The Sgt. at Arms reported that all the purchases she had been instructed to make had been made and that the materials purchased had arrived.

The President announced that our club would be the venue for the upcoming Area Contest on April 2nd.

February 13, 2012 Executive Committee Meeting
Present at the meeting were: Tiffany Fung (Sgt. at Arms), Samya Boxberger-Oberoi (VPE & VPPR), Nancy Johnson (VPM & Treasurer) and Randy Groover (President).
Officer Reports:
The President reported that 2 DCP goals had been achieved.
The VPE stated that she will work on increasing the visibility for the Competent Leader Program. The President committed to begin work on obtaining his CL designation.
The VPM noted that she was having problems registering members that are new to our club, but are also members of another club (dual members) because she cannot get their member numbers from Toastmasters International in order to process them as a dual member which obviates the need to purchase the initial documentation set again.
The Treasurer announced that all outstanding bills had been paid.
The Sgt. at Arms bought a new box that is slightly larger than needed. She will return it for a smaller box. She also bought dry-erase pens for writing on the white board and has ordered the Table Topics award ribbons.

The Sgt. at Arms, VPE and President have been to training. The VPM/Treasurer will attend training if she can.
Due to the indeterminate absence of Wing T. Tsoi, Samya Boxberger-Oberoi has taken over her position as the VPE.
The rebranding effort will start with the VPPR and the President reading the rebranding documentation and reporting to the Executive Committee at the April 9th meeting on what the rebranding requirements are as set forth by Toastmasters International. It will then be up to the full Executive Committee to decide how to move forward.
The VPE will present her ideas on how to proceed with the How to Listen Effectively educational program to the Executive Committee at the March 12th meeting. The members of the Executive Committee have committed to read the workbook for the How to Listen Effectively program by the March 12th meeting. The entire Executive Committee will then decide how to proceed from that point.
The mentoring sessions will be re-established to aid the new members of the club. The sessions will be about 15 minutes long and will consist of presentations from the Successful Club Series, the Better Speaker Series and ad hoc presentations by members of the club pertaining to issues specific to the club.
The next Executive Committe meeting will be held on March 12, 2012.

January 9, 2012 Executive Committee Meeting

Officer Reports:
The President reported that 1 DCP goal had been achieved.
The President reported that the Blog was currently up to date and that guests at our club meetings had told him that the fact that the Blog was being updated and that the website was current was a sign to them that the club was functioning. In an unintended way keeping the meeting minutes on the Blog was functioning as a marketing tool!
The Treasurer indicated that no bank statements had been received for November or December of 2011. The President agreed to contact the San Mateo Area Chamber of Commerce and request that the statements be sent directly to the Treasurer.
The current Sgt. at Arms will contact the former Sgt. at Arms requesting that the new club banner be delivered to her as soon as it arrives.

The status of our current VPE was discussed.
All officers agreed that they would help out if another officer became overloaded with work and that they would ask for help if they became overloaded with work.
